THE COLISEUM BOULDERING CENTRE
Conditions of Use for External Providers
These Conditions of Use apply to all external instructors, coaches, teachers, organisations, and group leaders operating at The Coliseum Bouldering Centre (“The Coliseum”).
1. Definition of External Providers
An External Provider is any individual or organisation delivering instruction, supervision, or organised activity not employed directly by The Coliseum, including but not limited to:
- Freelance climbing instructors or coaches
- Schools, colleges, youth groups
- Scouts, Guides, cadets, or similar organisations
- Corporate or organised group leaders
2. Entry Fees & Charges
- All external providers clients are subject to entry fees.
- External providers operating in a commercial capacity (e.g. paid coaching, private instruction, profit-making groups) will be charged:
- Flat monthly rate (agreed between parties) to use the space
- £10 reduced entry fee for each client. (20% off regular entry)
- External providers operating in a non-commercial capacity (e.g. teachers, scout leaders, youth workers) are exempt from the £10 External Instructor Fee, but standard flat monthly rate still applies
- External providers are responsible for paying entry fees for their participants.
- Prepaid passes, memberships, punch cards, or monthly subscriptions cannot be used when visiting as part of an externally led group.
3. Registration & Inductions
- All external providers must be registered users of The Coliseum.
- External providers must have:
- Read and agreed to The Coliseum Conditions of Use
- Read and understood all relevant safety and supervision policies
- External providers must ensure that all participants are appropriately signed in and covered by completed risk acknowledgements and supervision forms.
- Where applicable, external providers must complete any required inductions prior to leading sessions.
4. Booking & Pre-Arrival Requirements
- All external provider visits must be pre-booked at least 24 hours in advance.
- Bookings must be made via email or the designated booking process.
- Failure to pre-book may result in entry being refused at the Duty Manager’s discretion.
- External providers must check in with Reception and the Duty Manager on arrival.
5. Supervision & Ratios
- External providers must remain fully responsible for their group at all times.
- Maximum permitted ratios:
- Bouldering sessions: 1 instructor to 10 participants
- These ratios are maximum limits. Lower ratios may be required depending on:
- Age
- Ability
- Behaviour
- Experience level
- Unqualified assistants may not be used to increase ratios.
- External providers must not leave any part of their group unsupervised at any time.
6. Under-18s & Safeguarding
- External providers have full pastoral responsibility for all under-18s.
- Minors must not be left unattended, whether climbing or not.
- External providers must ensure:
- Active supervision
- Safe behaviour
- Appropriate conduct throughout the visit
- External providers are responsible for briefing their group on safe conduct, including falling safety, spatial awareness, and respect for other users.
7. Climbing & Use of the Facility
- External providers may not climb while supervising a group and must remain on the floor.
- External providers must supervise their group across:
- Bouldering walls
- Training areas
- Any designated climbing spaces
- Groups must be managed with consideration to other users of the centre.
- Noise levels must be kept reasonable
- Routes and fall zones must not be monopolised
8. Duty Manager & Incident Reporting
- The Coliseum operates a Duty Manager system at all times.
- External providers must:
- Identify themselves to the Duty Manager on arrival
- Inform the Duty Manager of their group’s presence
- All accidents, injuries, or near misses must be reported immediately to the Duty Manager and recorded appropriately.
9. Equipment & Group Areas
- Groups should kit up only in designated group areas, where possible.
- Any hired equipment must be:
- Used correctly
- Returned to Reception at the end of the session
- External providers are responsible for checking that all equipment is returned in good condition.
10. Fire & Emergency Procedures
- In the event of an emergency or fire alarm:
- External providers must follow The Coliseum Fire Evacuation Procedure
- External providers are responsible for ensuring their entire group evacuates safely
- Assembly points and evacuation instructions must be followed as directed by staff.
11. Risk & Liability
- All activities at The Coliseum Bouldering Centre are undertaken at the participant’s own risk.
- The Coliseum does not accept responsibility for:
- Accidents resulting from failure to follow instructions
- Loss or damage to personal property
- External providers are responsible for:
- The conduct
- Safety
- Behaviour of their group at all times
12. Professional Standards & Right to Intervene
- External providers are expected to operate to the highest standards of safety and professionalism.
- The Coliseum reserves the right to:
- Intervene in any session
- Impose additional controls
- End a session early if safety or conduct standards are not met
- Any intervention will be handled sensitively where possible, but participant safety always takes priority.
